1. General Conditions
By accessing and using the services of Bay Sanding, you agree to comply with these Terms & Conditions and all applicable laws and regulations. Bay Sanding reserves the right to refuse service to anyone at any time for any reason.
2. Services
Bay Sanding provides floor sanding, staining, and refinishing services as outlined in our quotes and service agreements. The scope of work will be clearly defined in the service agreement, which must be approved by the client before work commences.
Approval of Work
Accepting a quote verbally, through Xero, or by allowing work to commence confirms your approval of work.
By proceeding with our services, you acknowledge and accept all terms and conditions outlined below.
3. Payments and Fees
- A 10% deposit is required before work begins to confirm and reserve the starting date.
- Full payment is due on the date the job is completed.
- Late payments may incur additional charges.
- Additional requests or services beyond those listed in the quote will incur extra charges. Please discuss any extra needs in advance to confirm associated costs.
- Payments can be made via direct bank deposit or credit/debit card (subject to a 1.75% surcharge for processing costs).

4. Acceptance of Quote & Terms
Accepting a quote verbally, through Xero, or by allowing work to commence confirms your agreement to Bay Sanding’s Terms & Conditions.
By proceeding with our services, you acknowledge and accept all risks and limitations outlined below.
5. Important Considerations & Risks
5.1. Timber Floors – General Considerations
These conditions apply to both solid timber floors and engineered timber floors:
5.1.1. Adhesives & Delamination Risks
- Some timber floors are glued down, and excessive sanding can weaken adhesives, leading to plank lifting or delamination.
- Bay Sanding is not responsible for damage caused by sanding floors with weak adhesives or improperly installed planks.
5.1.2. Colour Variations & Patchwork Repairs
- Variations in timber colour, grain, and finish are normal and may become more visible after sanding.
- If sections of the floor require replacement or patch repairs, the new planks may not match the rest of the floor, even after staining.
- Bay Sanding does not guarantee uniform colour or finish results, especially for patched or repaired sections.
5.1.3. Structural & Environmental Factors
- Pre-existing damage to the floor may become more visible after sanding and refinishing. Bay Sanding is not responsible for structural issues that were not previously noticeable.
- Timber floors naturally expand and contract due to environmental factors. Gaps may appear over time, and this is not a defect in our work.
- Certain woods and stains absorb differently, leading to variations in colour. This is a natural property of timber and is not a fault in the finishing process.
- Dust containment systems help reduce, but do not eliminate, dust. Some dust may settle after work is completed.
5.2. Engineered Floors – Additional Considerations
Engineered timber floors have unique characteristics that may affect sanding and refinishing results. Clients must acknowledge the following additional risks:
5.2.1. Wear Layer Thickness & Sanding Limitations
- Not all engineered floors can be sanded.
- There is no way to determine how thin the floor’s wear layer is from previous sandings. If it has been sanded before, there is a risk that the layer is too thin to be sanded again.
- Floors with a wear layer less than 3mm are high risk and may not withstand sanding without exposing the underlying core.
- If the wear layer is too thin, sanding may lead to irreversible damage, delamination, or exposure of plywood or composite backing.
- By proceeding, the client accepts all risks associated with sanding an engineered floor with a thin wear layer.
5.2.2. Previous Coatings, Adhesives & Reactions
- Some engineered floors are factory-finished with aluminum oxide or other hard coatings, making them extremely difficult to sand.

Pre-existing coatings, adhesives, or treatments may cause unexpected reactions with new finishes, leading to:
- Uneven absorption
- Discoloration
- Peeling
- Rejection of the new coating
- If a floor has been previously coated with wax, polyurethane, or oil-based finishes, the new finish may not adhere properly, and the final result may vary.
- Bay Sanding is not responsible for any unexpected reactions due to previous coatings or unknown treatments applied before our work.
5.2.3. Client Acknowledgment & Liability Waiver
- Clients must sign an acknowledgment form before we commence work on engineered floors, confirming their understanding of these risks.
- Bay Sanding is not liable for damage resulting from the sanding of engineered floors that do not meet industry-standard wear layer thickness or structural integrity.
6. Care & Maintenance Responsibility
Once the job is completed, ongoing floor care and maintenance are the responsibility of the client. Bay Sanding is not liable for damage caused by:
- Improper cleaning methods or harsh chemicals.
- Heavy furniture, sharp objects, or excessive foot traffic.
- Environmental factors such as humidity, water spills, or UV exposure.
We recommend following appropriate floor care guidelines to maintain the longevity and appearance of your floors.

7. Disclaimer
The scope of work detailed in this quote encompasses only the services and tasks explicitly listed.
Additional requests or services beyond those listed will incur extra charges. Please discuss any extra needs in advance to confirm associated costs.
8. Intellectual Property
All materials, including images, text, designs, and other content provided by Bay Sanding, are the intellectual property of Bay Sanding and may not be reproduced, used, or represented without explicit permission.
9. Limitation of Liability
Bay Sanding is not liable for any direct, indirect, incidental, special, or consequential damages that result from the use of, or the inability to use, our services. This includes but is not limited to:

Pre-existing floor conditions, such as:
- Wear layer thickness on engineered floors.
- Previous coatings, adhesives, or treatments impacting the final result.
- Structural or environmental factors beyond our control.
- Variations in timber colour, grain, or finish.
- Issues resulting from previous coatings, adhesives, or manufacturing treatments.
- Damage due to client neglect or improper floor care after completion.
10. Amendments
These Terms & Conditions may be amended from time to time.
The updated versions will be posted on our website, and your continued use of our services constitutes your agreement to the revised Terms.
